Abstracts & E-Posters

How to manage scientific abstracts and e-posters: categories, author lists with institution affiliations, deliverables tracking, and publishing to the app and your website.

Scientific and academic programmes can carry their full abstract book inside Event Vault: every abstract with its number, title, category, complete author list with numbered institution affiliations (the superscript notation used in printed programmes), the abstract text, an optional e-poster image, and an optional download. Attendees browse abstracts by category in the app, search across the whole programme, and open e-posters fullscreen at full resolution.

Enabling Abstracts

Abstracts are switched off by default, so nothing changes for events that do not use them.

Go to Event Settings in the Management Console.
Enable the Abstracts option.
The Abstracts page appears under App Content, an ABSTRACTS entry becomes available for your app menu, and the Abstract content block appears in the content editors.

The Abstracts Page

The Abstracts page lists every entry in your programme. You can filter by category and see at a glance which entries are still missing their e-poster or download, which makes it the working view for completing a programme in the run-up to the event.

To add an abstract, click CREATE and fill in:

Abstract Number: The display number from your programme (e.g., “1008”). Shown with the abstract and searchable in the app.
Title: The abstract’s title (required).
Category: Chosen from your event’s category list (see below).
Authors & Institutions: The full author list with their affiliations (see below).
Abstract Text: The abstract body as rich text.
E-Poster: An optional poster image (see below).
Download: An optional file link, rendered as a download button, with a custom label.
Keywords: Comma-separated keywords, used for search and shown as chips on the abstract.

Authors & Institutions

Author affiliations follow the convention of printed conference programmes: institutions are numbered, and each author carries the superscript numbers of the institutions they belong to, with the presenting author underlined and listed first.

In the abstract editor you manage this in two parts:

Institutions are an ordered list: the first institution renders as superscript 1, the second as superscript 2, and so on. Reordering institutions renumbers automatically, and the author assignments move with them.
Authors each select one or more of those institutions, and one author is marked as the presenter.

An author can also be linked to a speaker profile. A linked abstract then appears on that speaker’s profile in the attendee app (between their biography and their sessions), and the speaker shows up in the abstracts view of the Deliverables tab.

E-Posters

An e-poster is uploaded once and stored in two resolutions: a lighter display copy used on cards and lists, and the pristine original used for the fullscreen viewer and the download button in the app. Attendees can zoom into the full-resolution version, so posters remain readable down to the fine print.

Each abstract also records whether an e-poster is expected. An oral presentation without a poster is complete, not overdue, so leave it off for talks; switch it on for poster presentations and the entry counts as missing its poster until one is uploaded.

Chasing Posters in Deliverables

When Abstracts are enabled, the speaker Deliverables tab gains an Abstracts chip on every speaker row:

Grey — no abstracts are linked to this speaker.
Amber — a linked abstract that expects an e-poster is still missing it, with a count.
Green — every linked abstract has its poster.

Clicking the chip opens the abstract directly (or a list to pick from when a speaker has several), so the Deliverables tab is where you chase presenters for their posters alongside their bio, headshot, and slides. See Managing Event Speakers for the rest of the Deliverables workflow.

Abstracts in the Attendee App

Add the ABSTRACTS entry to your app menu (see Menu Customization) and attendees get:

A category overview page with search across the whole programme.
One feed page per category, in the order you set.
A detail page per abstract with the full author and institution notation, text, keywords, e-poster, and download button.
Each speaker’s linked abstracts listed on their speaker profile.

You can also point content straight at an abstract: the Abstract content block, available in session app content and on the welcome screen, renders a button that opens the abstract’s page, with an optional custom label. Ideal for linking a session to the paper being presented in it. If the abstract is later unpublished or deleted, the app hides the button rather than leaving a dead one.

Publishing Abstracts to Your Website

Published abstracts are included when you publish your event, and a dedicated Abstracts widget is available for your own website: category filter buttons, search, and each abstract opening in a modal with its full author list, text, e-poster, and download button. Grab the embed code on the Publishing page, and republish after abstract changes so they reach your site, as with all published data. See Publishing & Embedding.

Like speakers, each abstract has a publish toggle: an unlisted abstract stays in the console only, hidden from the app and the published website until you are ready to show it.

Importing a Whole Programme

Most abstract programmes arrive as an export from a submission system, hundreds of records at a time. The public API manages abstracts like every other object type, and the bulk import takes up to 200 abstracts per call, authors and institutions included, reporting a result per row. A category the event does not know yet is added to your category list automatically. See the Abstracts API for details.

Tip

Abstract pages in the attendee app require a recent app version. If your event’s app was built before abstracts existed, the menu entry simply does not render, so nothing breaks for attendees on older builds.
