Event Vault vs Cvent

Cvent is the most complete event platform in the world, and for large organisations with complex programmes it is often the correct answer. Event Vault is for the conferences and congresses that don't need venue sourcing, hotel room blocks or a certification programme, and shouldn't be paying for them.

The Short Version

Cvent is genuinely in a class of its own. Founded in 1999, now controlled by Blackstone, which took it private in 2023. It reports 5,500+ staff, 34,000+ customers and 8 million events managed. It has been named a Leader in the Gartner® Magic Quadrant™ for Event Marketing and Management Platforms three years running, and was positioned highest in Ability to Execute in 2026. Nearly 340,000 venues actively use its sourcing marketplace. Its Passkey product for hotel room blocks has no real equivalent anywhere. Its compliance posture, ISO 27001, ISO 27701, SOC 1 and 2 Type II, PCI DSS Level 1, 18 published VPATs, EU-region data storage in Frankfurt and Dublin, is the best in the industry and it isn’t close.

None of that is in dispute here. The question is whether your event needs it.

Event Vault does one thing: a professional attendee app and organiser console for in-person conferences, congresses and summits between roughly 150 and 10,000 people. It costs €250 to €1,000 plus about €1 per attendee, published on the website. It launches the same day. It charges nothing on ticket sales and never touches your money. And a branded app under your own organisation’s name is €1,000 plus a one-time €600 setup, not a negotiation.

Three specifics from Cvent’s own published contract terms are worth knowing before you sign anything, and we’ve quoted them below: how a “Registrant” is counted for billing, what happens to unused registrant commitments, and what happens to your branded app when the contract ends.

What Cvent Actually Costs

Cvent’s pricing page carries no figures. Every call to action is “Get pricing.” What it does show is the structure: two editions, Professional and Enterprise, with Registration, Attendee Hub and OnArrival licensed as separate solutions.

One detail from that page is worth flagging: SSO, MFA, API access and budget management are Enterprise-tier features. They are not included in Professional.

What buyers report paying

Vendr, a procurement marketplace that brokers real software contracts, published the following in February 2026 based on 193 tracked Cvent purchases:

Vendr sells procurement services, so treat these as third-party benchmarks rather than Cvent’s official prices. But they are drawn from real anonymised contracts, and the 20.3% average saving Vendr reports on negotiated deals tells you something in itself: Cvent pricing is negotiable, and the first number is not the last number.

The numbers Cvent does publish

Cvent’s Event Cloud Terms of Use contain hard figures that most buyers never read:

  • $0.25 per contact, per year above your allowance
  • $0.05 per email above your allowance
  • $250 per 5GB block of additional storage
  • $25 per chargeback, reversal or payment dispute, where Cvent is your payment processor
  • 3–5% handling charge if you require special invoicing arrangements
  • 2% per month, or the maximum rate allowed by law, on late payment

Where an Order Form doesn’t specify an overage rate, the terms bill at “Cvent’s then-current rates”, which means overages are uncapped by default unless you negotiate a cap.

How Cvent Counts a Registrant

This is the single most important clause for a congress organiser to understand, and it comes straight from Cvent’s own Event Cloud Terms:

“A Registrant is defined as a person registering via a registration process created within the Cvent system, even if submitted manually through the back end… Guests registered under a Registrant will count as a Registrant for billing purposes. Each registration will count as a Registrant for billing purposes from the point of submission, not from the point of approval or confirmation. If a person cancels, the initial registration still counts as a Registrant for billing purposes.

Read plainly, that means you are billed for:

  • people who registered and then cancelled
  • applications you rejected or never approved
  • accompanying guests on a delegate’s registration
  • records your own team typed in through the back end

And on minimum commitments:

“the number of Registrants listed under minimum usage fee in the Order Form is the minimum number of Registrants Customer agrees to use and pay for per annum. Should Customer use less than this minimum number, fees due under the Order Form will not be reduced… unused registrants will not roll over to another term year.”

So the minimum is a floor, not a credit. If you commit to 5,000 registrants and run 3,500, you pay for 5,000 and lose the difference.

Event Vault works the other way round. The attendee number on your plan is an estimate. After your event it is reconciled to the actual number of attendees in your app, adjusted up or down. If fewer people came than you expected, you pay less. There is no minimum commitment, no rollover question, and no billing consequence to a cancellation.

Neither approach is dishonest; they suit different businesses. Cvent’s model makes sense for an enterprise with predictable annual volume and a procurement team to negotiate the floor. It is a poor fit for an association congress whose attendance swings 30% year to year.

On the attendee side there is very little between them. Cvent’s app is broader at the edges; the core conference experience your delegates will actually touch is comparable, at a fraction of the price.

What Event Vault Does That Cvent Doesn't

Cvent is deeper on almost every axis, so the interesting question is where a small platform actually beats a large one. Three places, and they’re all about the work rather than the feature list.

Speaker operations, properly. Cvent has speaker management as part of content management. Event Vault treats it as the job it really is. Every speaker gets four tabs: a public profile; a private logistics tab holding passport and nationality details behind a GDPR consent gate, visa status, inbound and outbound flights, ground transfers, hotel, dietary and accessibility needs, honorarium, per diem and emergency contact; a lifecycle pipeline running Invited → Confirmed → Contract Sent → Contract Signed → Materials Received → Briefed → Attended with live counts per stage; and a deliverables tab tracking headshot, bio, slide deck, AV requirements and recording consent, each filterable by what’s still outstanding. For a congress with sixty international speakers, that is the difference between a spreadsheet and a system.

A planning board you can actually think in. Day columns against a time axis, blocks sized by duration, side-by-side track lanes, snapping from five minutes to two hours, an unscheduled tray. Changes stage until you save, so you can restructure an entire day and discard it if it doesn’t work. Speaker double-bookings are flagged automatically before the programme goes out.

Nothing gated, nothing to certify. Cvent puts SSO, MFA, API access and budget management in the Enterprise edition, runs fourteen certification tracks and sells professional services at $150 to $300 an hour. Event Vault’s REST API, badge designer, analytics, ticketing and web widgets are on every plan, badge printing needs no rented printer, and there is a free public Badge Maker that runs in a browser with no account at all. The API issues scoped keys per event and object type, expiring in as little as an hour, with a one-click prompt you can hand to an AI assistant to tidy session tags or speaker bios in bulk.

And a way in that costs almost nothing. If all you actually need is your programme on your own website, the publishing widgets are sold standalone at €100 per event: schedule, speakers and sponsors embedded in your existing site, themed to your colours, with a printable full-programme layout. No app, no per-attendee charge, upgradeable later.

Cvent will do more. Event Vault will do the parts a congress lives on, today, for roughly a twentieth of the median contract.

Already Have Tools? Bring Them.

Most platforms in this market want to be the whole stack. Event Vault takes the opposite position: if you already run a registration system, a CRM, a streaming provider or a transcription tool, and your team knows it, the sensible move is to connect to it rather than ask you to abandon it.

Custom importers for the systems you already use. Association and congress data is rarely tidy. Membership databases built up over fifteen years, exports with columns nobody remembers naming, registration platforms with their own idea of what a delegate record looks like. Rather than making your team re-key it, we build an importer against your format so the data syncs across and your people keep working where they always have.

Custom Salesforce integrations. For clients running heavily customised Salesforce operations we’ve built bespoke integrations rather than handing over a generic connector that fits nobody. The same applies to other established internal systems: if it can expose data, it can usually be wired up.

Hybrid, streaming and AI tooling, integrated rather than rebuilt. Event Vault doesn’t host video, and we’re not going to pretend otherwise. What we have done on previous events is link and embed the tools clients were already paying for: external streaming platforms alongside the in-person programme, AI transcription running against sessions, and other third-party services surfaced inside the app and the published web widgets. You keep the tool you chose; the attendee sees one coherent event.

A REST API on every plan. Guests, tickets, speakers, sessions and sponsors, with scoped keys issued per event and per object type, expiring in as little as an hour. No edition gate, no per-integration fee.

Custom development and integration work is scoped and quoted per project, so it’s an honest conversation rather than a line item you discover later. Tick “Integrations” or “Custom development” on the quote form and describe what you need.

For context: Cvent has a genuine integration marketplace and a developer hub, both stronger than anything Event Vault offers off the shelf. But API access sits in the Enterprise edition, and professional services run $150 to $300 an hour.

Where Cvent Is the Better Choice

For a large class of events Cvent is simply correct, and Event Vault is not a serious alternative. Five decisive cases:

  • You need hotel room blocks or housing. Passkey integrates directly with hotel reservation systems and reports pickup and attrition in real time. Nothing in the mid-market comes close, and Event Vault has nothing at all.
  • You need venue sourcing. Nearly 340,000 venues actively use Cvent’s marketplace, processing over $20 billion of sourcing a year. That is a genuine moat.
  • You need abstract management, CEU or CME credit tracking, or certificates. All present in Cvent, all absent in Event Vault. For an accredited medical congress this alone can decide it.
  • You need complex registration, approval workflows or budget governance. Multi-path registration, contact-type logic, approval chains, Meeting Request Forms and spend tracking are what Cvent was built for.
  • Your procurement demands certifications or accessibility documentation. ISO 27001, ISO 27701, SOC 1 and 2 Type II, PCI DSS Level 1, 18 published VPATs and pre-completed SIG and CAIQ questionnaires. Event Vault has none of this, and a security questionnaire will stop there.

Also worth weighing: Cvent runs virtual, hybrid and webinar programmes, operates local contracting entities across Europe, Asia and Australia with 24/7 support in 12 languages, and publishes 99.97% uptime. The recurring criticisms are equally well documented, chiefly cost, pricing opacity and a learning curve steep enough that Cvent sells certifications for it. The fairest summary from the review corpus is that buyers either value Cvent deeply for its power, or struggle with it because of that same power.

Which Should You Choose?

Choose Cvent if you run a high-volume or highly complex event programme, room blocks, venue sourcing, abstracts, accreditation, approval workflows, virtual formats, and you have a dedicated events team, a procurement process, and a budget that starts in the tens of thousands. If your organisation’s security or accessibility requirements are formal, Cvent is likely the only vendor on this page that can satisfy them.

Choose Event Vault if your congress needs a genuinely good attendee app and a capable organiser console, and not much else. If you’re spending €20,000 a year on a platform to use a fifth of it, if you’ve been billed for registrants who cancelled, if your renewal keeps drifting up year after year, or if it takes weeks of onboarding and a certification course before anyone on your team can build an event, those are the problems Event Vault is shaped around.

A useful test: write down the Cvent modules you actually used last year. If venue sourcing, Passkey, abstracts and budget management aren’t on that list, you’re paying for a suite to use an app.

Common Questions

That’s the default assumption rather than a special case. If you already run a registration platform, a CRM, a streaming provider or a transcription tool and your team knows it, connecting to it beats replacing it. In practice that has meant custom importers written against a client’s own export format so nobody re-keys a membership list, bespoke Salesforce integrations for organisations with heavily customised Salesforce operations, and external streaming and AI transcription tools linked or embedded so they appear alongside the in-person programme. There is also a REST API on every plan covering guests, tickets, speakers, sessions and sponsors. Custom development is scoped and quoted per project.

Cvent doesn’t publish prices, its pricing page is entirely quote-driven. The best available benchmark comes from Vendr, a procurement marketplace, which reported a median annual contract of $19,550 across 193 tracked purchases in February 2026, with a range of $5,400 to $94,642. Implementation typically adds $5,000 to $50,000. Cvent’s own published terms do specify overage rates: $0.25 per contact per year, $0.05 per email, $250 per 5GB of storage, and $25 per chargeback where Cvent is your payment processor.

According to Cvent’s own Event Cloud Terms of Use, yes. The terms state that a registration counts as a billable Registrant ‘from the point of submission, not from the point of approval or confirmation,’ and that ‘if a person cancels, the initial registration still counts as a Registrant for billing purposes.’ Guests registered under a delegate and records entered manually through the back end also count. Event Vault reconciles to the actual number of attendees in your app after the event, adjusted up or down.

Cvent’s Attendee Hub terms state that on termination, ‘Customer will not publish or will cease publication of Customer’s App(s).’ This applies where you publish your own branded app: primary control of the Apple and Google developer accounts stays with you, at your expense, and Cvent bears no responsibility for store rejections or publishing delays. Cvent’s default route is instead its own shared ‘Cvent Events’ container app, where your organisation gets no branded icon. With Event Vault the branded app is included on the Custom plan, you choose whether it is published from your own developer accounts or from ours, and it is typically live within about two weeks.

For some events, yes; for many, no. If you use Cvent primarily as an attendee app plus registration and check-in for in-person conferences, Event Vault covers that ground at a fraction of the cost. If you rely on venue sourcing, Passkey room blocks, abstract management, CEU tracking, budget workflows, SSO or published accessibility documentation, Event Vault has none of those and we won’t pretend otherwise.

Event Vault launches the same day on its pre-configured companion app, and there is no implementation project. Cvent publishes no implementation timeline; it describes ‘human-led onboarding for every customer,’ and buyers commonly report weeks to build a first event and three to six months to full team proficiency. Cvent also runs fourteen certification tracks, including a two-tier administrator ladder, which tells you something about the depth of the platform.

Effectively yes. Cvent’s Trust Center states that EU-based customers, and customers in other parts of the world, have data processed and stored in AWS Frankfurt and Dublin, and it contracts through local entities including Cvent Nederland B.V. and Cvent Deutschland GmbH. Event Vault runs on Google Cloud in Belgium. On this point both platforms keep EU data in the EU, it isn’t a differentiator.

Cvent, decisively. It holds ISO 27001, ISO 27701, SOC 1 and SOC 2 Type II, PCI DSS Level 1 and CSA STAR, publishes 18 VPATs and states that it works to make its attendee-facing solutions WCAG 2.2 AA-compatible. Event Vault holds no certifications and publishes no accessibility documentation at all. If your procurement process requires either, Cvent is the safer choice.
