Event Vault vs EventMobi

EventMobi is a well-built, well-supported platform with fifteen years behind it and an unusually honest approach to pricing. Event Vault competes on a narrower promise: one price with nothing modular, a branded app in about two weeks, EU-hosted data, and support from the person who wrote the code.

The Short Version

Two things need saying up front, because a lot of comparison pages about EventMobi get them wrong.

EventMobi publishes its prices. Its pricing page lists a starting point of $3,000 per event or $8,900 per year for unlimited events. Anyone telling you EventMobi hides its pricing hasn’t looked.

EventMobi charges no registration or ticketing fee. No percentage, no per-ticket charge, on free or paid tickets. You connect your own payment gateway and the money is yours. On the fee question, EventMobi and Event Vault are genuinely aligned, and both are better positioned than most of the market.

So the comparison is not about hidden fees. It’s about four other things:

  • Cost at conference scale. EventMobi starts at $3,000 per event; Event Vault’s mid tier is €500 plus €1 per attendee. For a 500-delegate congress that’s roughly €2,750 versus €1,000.
  • Bundling. EventMobi’s app, registration, and check-in/badge printing are separately licensed, with streaming from $500 per event, badges from $3.99 each, hardware rental around $1,000, and integrations quoted at $500–$1,000 each. Every Event Vault feature is on every plan.
  • Language. EventMobi markets “27 languages,” but its own help centre states the app supports exactly two at a time, a primary and a secondary, and “any customisable text for the Event App will need to be translated by your team.” Event Vault ships English and Dutch and adds further languages on request, so the ceiling is a conversation rather than a product limit.
  • Where your data lives. The only infrastructure entry in EventMobi’s published sub-processor schedule is AWS in the USA, and its data processing addendum states that “As a Canadian company, EventMobi does not need to rely on the Standard Contractual Clauses… we do not include them in our standard Data Processing Agreement.” Event Vault runs on Google Cloud in Belgium.

EventMobi is the more capable platform. Event Vault is the simpler, cheaper, EU-hosted one. Which matters more depends entirely on your event.

Professional services are extensive and optional: onboarding and training, custom app design, gamification design, data upload and management, an Event Tech Concierge, onsite support, live-stream production. Useful if you want them; a cost line if you don’t.

EventMobi trades as 5Touch Solutions Inc., and Canadian federal contract disclosure records real numbers:

  • CAD $26,810 to the Canadian Radio-television and Telecommunications Commission, a two-year subscription running March 2026 to March 2028, awarded competitively against three bids. That’s roughly CAD $13,400 a year including tax.
  • CAD $11,300 to Crown-Indigenous Relations and Northern Affairs Canada, September 2023
  • CAD $10,518 to the same department in 2021, including a mid-term amendment that added 22.9% to the original value

These are public, linkable records rather than review-site opinion, and they broadly corroborate the published $8,900 entry point.

What Event Vault Does That EventMobi Doesn't

EventMobi is the broader platform, so it’s worth being specific about where the smaller one is actually better. These aren’t areas where EventMobi is weaker. They’re areas it doesn’t cover.

A real speaker operations workspace. The month before a congress is mostly speaker admin: chasing headshots, tracking signed contracts, working out whose visa letter still hasn’t gone out. Event Vault gives every speaker four tabs. A public profile. A private logistics tab holding passport and nationality details behind a GDPR consent gate, visa status, inbound and outbound flights, ground transfers, hotel, dietary and accessibility needs, honorarium and emergency contact. A lifecycle pipeline running Invited → Confirmed → Contract Sent → Contract Signed → Materials Received → Briefed → Attended, with live counts per stage. And a deliverables tab tracking headshot, bio, slide deck, AV requirements and recording consent, each filterable by what’s still missing. EventMobi offers self-service speaker profiles. Different job entirely.

A planning board that catches your mistakes. Day columns against a time axis, blocks sized by duration, side-by-side track lanes, snapping from five minutes to two hours, an unscheduled tray to park sessions in. Changes stage until you save, so you can rearrange an entire day and throw it away. Speaker double-bookings are flagged automatically, before the programme goes out. It also sidesteps the single-editor bottleneck EventMobi reviewers describe.

Badge design with no module and no per-badge fee. Full designer on every Event Vault plan, output as a print-ready PDF for any office printer, with templates for Conference, Speaker, Exhibitor, VIP, Crew and Networking. EventMobi licenses check-in and badge printing as a separate module and sells pre-printed badges from $3.99 each. There’s also a free public Badge Maker that runs in the browser with no account at all.

An API built for the AI era. Scoped API keys issued per event and per object type, with read or write granularity and expiry as short as one hour, plus a one-click prompt you can paste into an AI assistant to have it tag sessions or polish speaker bios in bulk.

Your programme on your own website, as a product in its own right. The publishing widgets push your schedule, speakers and sponsors into your existing site, themed to your colours, with a printable full-programme layout. If that’s all you need, there’s a €100 Web Programme tier with no app and no per-attendee charge, and you can upgrade later. EventMobi’s answer is a hosted event website, licensed as part of the Registration module.

One price, not a stack of modules. App, registration, ticketing, badges, check-in, analytics and web widgets are all included on every Event Vault plan. With EventMobi those are separately licensed, with integrations quoted at $500 to $1,000 each on top.

Already Have Tools? Bring Them.

Most platforms in this market want to be the whole stack. Event Vault takes the opposite position: if you already run a registration system, a CRM, a streaming provider or a transcription tool, and your team knows it, the sensible move is to connect to it rather than ask you to abandon it.

Custom importers for the systems you already use. Association and congress data is rarely tidy. Membership databases built up over fifteen years, exports with columns nobody remembers naming, registration platforms with their own idea of what a delegate record looks like. Rather than making your team re-key it, we build an importer against your format so the data syncs across and your people keep working where they always have.

Custom Salesforce integrations. For clients running heavily customised Salesforce operations we’ve built bespoke integrations rather than handing over a generic connector that fits nobody. The same applies to other established internal systems: if it can expose data, it can usually be wired up.

Hybrid, streaming and AI tooling, integrated rather than rebuilt. Event Vault doesn’t host video, and we’re not going to pretend otherwise. What we have done on previous events is link and embed the tools clients were already paying for: external streaming platforms alongside the in-person programme, AI transcription running against sessions, and other third-party services surfaced inside the app and the published web widgets. You keep the tool you chose; the attendee sees one coherent event.

A REST API on every plan. Guests, tickets, speakers, sessions and sponsors, with scoped keys issued per event and per object type, expiring in as little as an hour. No edition gate, no per-integration fee.

Custom development and integration work is scoped and quoted per project, so it’s an honest conversation rather than a line item you discover later. Tick “Integrations” or “Custom development” on the quote form and describe what you need.

For context: EventMobi has an Integrations Hub and a free Zapier connector, with standard integrations quoted between $500 and $1,000 each. That’s a catalogue. Anything outside it is a different conversation.

Where EventMobi Is the Better Choice

Five situations where EventMobi is the better call, and we’d tell you so rather than waste your time.

  • Your programme is substantially virtual or hybrid. Event Vault hosts no video of its own, though we have integrated external streaming and transcription tools into the app on previous events. EventMobi has a full first-party stack including Studio, simulive and breakout rooms. For a genuinely two-audience programme that’s the better tool.
  • You run many events a year. At $8,900 for unlimited annual events with rollover credits and a dedicated Event Success Manager, EventMobi gets cheaper per event as your portfolio grows.
  • You need SSO, or SOC 2 for procurement. EventMobi has SAML 2.0 and OpenID Connect against Okta, Azure and ADFS, and holds SOC 2 Type II with an annual GDPR audit by a named DPO. Event Vault has neither.
  • You need invoicing or bank-transfer registration. EventMobi’s Extended Registration handles offline payments, invoicing and down payments. Event Vault’s checkout is card-only via Stripe.

Credit where it’s due: EventMobi rates 4.7 for ease of use and 4.7 for customer service on Capterra, and buyers switching from Cvent repeatedly cite its value. The recurring criticisms are specific rather than damning: exhibitors confused by needing a separate lead-capture app, bilingual events described as difficult to build, a single-editor bottleneck on the event website, and agendas defaulting to alphabetical rather than chronological order.

Which Should You Choose?

Choose EventMobi if you run several events a year, any of them virtual or hybrid; you need SSO or SOC 2 to get through procurement; you want a hosted event website and marketing campaigns in the same platform; or you need invoicing and bank-transfer registration alongside card payments.

Choose Event Vault if you run one or a handful of in-person congresses a year, wherever they’re held, you’d rather have everything included than assemble modules, you want a branded app in the stores under your own name without being obliged to open and maintain developer accounts, you need your data hosted in the EU, and you want the founder on the other end of the email rather than a rotating account rep.

There’s no fee argument to make here, both platforms leave your ticket revenue alone, and EventMobi deserves credit for publishing its prices when most of the market won’t. The argument is about scope, bundling, hosting location and how quickly you can be live.

Common Questions

That’s the default assumption rather than a special case. If you already run a registration platform, a CRM, a streaming provider or a transcription tool and your team knows it, connecting to it beats replacing it. In practice that has meant custom importers written against a client’s own export format so nobody re-keys a membership list, bespoke Salesforce integrations for organisations with heavily customised Salesforce operations, and external streaming and AI transcription tools linked or embedded so they appear alongside the in-person programme. There is also a REST API on every plan covering guests, tickets, speakers, sessions and sponsors. Custom development is scoped and quoted per project.

No, and it’s worth being clear about because many comparison pages get it wrong. EventMobi’s pricing page states there are no registration fees on free or paid tickets, the only charge is your payment gateway’s standard rate. You connect your own gateway and EventMobi never holds your funds. Event Vault works the same way through Stripe Connect. On this point the two platforms are equivalent.

EventMobi generates a build file that goes into your own Apple and Google developer accounts, which you must open, pay for and maintain; its documentation quotes between three and eight weeks. Event Vault builds the app under your organisation’s name and lets you decide where it is published, either from your own developer accounts or from ours, so the admin is optional rather than mandatory. It is included on the Custom plan and typically live within about two weeks.

Partially. Despite the ‘27 languages’ marketing, EventMobi’s own help centre states the event app supports one primary and one secondary language, and that all customisable text, session titles, descriptions, speaker bios, page content, must be translated by your team. Its suggested workaround is entering both languages in a single field separated by a slash. Reviewers have flagged this as a genuine problem for bilingual events.

Event Vault runs on Google Cloud in the EU (Belgium region). EventMobi’s published data processing addendum lists AWS in the USA as its sole hosting infrastructure, with every product sub-processor in the US except Whereby (Ireland) and idloom (Belgium). No EU data residency option is documented. For organisations with residency requirements, that’s a material difference.

Event Vault, substantially. You launch the same day on the pre-configured companion app and fill in content at your pace. G2’s aggregated buyer data puts EventMobi’s average time to implement at around two months, with a branded app adding another three to eight weeks.

Not natively, but often yes in practice. Event Vault hosts no video of its own. On previous events we have linked and embedded external streaming platforms and AI transcription tools so they sit alongside the in-person programme in the app and the published widgets. That covers a streamed keynote or recorded sessions well. EventMobi has a full first-party virtual stack, so if the online audience matters as much as the room, EventMobi is the right choice and we would say so on a call.
